This policy covers people who visit our website or submit a waiting-list enquiry. If your child is already enrolled with us, a fuller privacy notice applies to your family's records — you'll be given that separately when you join, and it covers things like how long we keep records and your full range of rights in more detail than this page does.
Arfox Ltd, trading as Magical Moments Childcare, is the data controller for the personal data this website collects. We're a registered childminder setting, registered with the Information Commissioner's Office (ICO) under registration reference 808634. If you just browse the site: basic technical information (like your IP address and device/browser type) may be collected automatically to keep the site working securely, and we use privacy-friendly, cookieless analytics (Cloudflare Web Analytics) that counts visits in an aggregated way that can't identify you. See our separate Cookie Policy for anything stored on your device.
If you submit the waiting-list form: your name, contact details (email/phone), your child's date of birth, the days and start date you're interested in, and anything else you choose to tell us in the form.
We collect this because you've asked us to, in order to register your interest and let us get in touch about a possible place. Our lawful basis is that it's a necessary pre-contractual step at your request (Article 6(1)(b) UK GDPR), and our legitimate interest in running our business (Article 6(1)(f)) for anything beyond that strict minimum.
We don't collect payment details through this website, and we don't run any marketing mailing list you haven't specifically asked to join.
If you don't go on to enrol with us, we'll keep your waiting-list details for up to 36 months from your last contact with us. We set the period this long deliberately: many families get in touch while pregnant or long before their child would actually start with us, so a short retention window would mean deleting genuinely live enquiries before they're ever followed up. After 36 months of no contact, we'll delete your details unless you ask us to keep them for longer, or ask us to delete them sooner. If your child does enrol, this information becomes part of your family's fuller records, covered by the separate privacy notice mentioned above.
We don't sell your data, or share it with third parties for their own marketing. We may need to share limited information with people directly involved in delivering childcare to you if you enrol, or where we're legally required to (for example, with Ofsted or the local authority).
To run this website we rely on a small number of service providers who process data only on our instructions and under contract:
Some of these providers are based outside the UK. Where your personal data is transferred abroad, it is protected by appropriate safeguards (such as UK International Data Transfer terms or an adequacy decision).
Some pages (such as our gallery) show photographs of children in our care. We publish these only with the written consent of the child's parent, and only using images where the child's face is not identifiable — taken from above, behind or the side, never a full-face photo — and never with a child's name. We strip the hidden metadata (including any camera location) from every image before it goes online. If a parent withdraws consent we take the photo down promptly, though copies already downloaded by others can't always be recalled. Our lawful basis for publishing these images is consent (Article 6(1)(a) UK GDPR).
